$21-$23 per hour

The office manager is a member of the staff for Child Evangelism Fellowship® of Rhode Island Inc. The office manager is charged with handling the daily office and administrative tasks conducive to the purpose of Child Evangelism Fellowship Inc. The office manager will work in cooperation with the state director to ensure that the organization works efficiently and smoothly and in a way that honors the Lord.
This employee will also support Child Evangelism Fellowship of Connecticut in the same capacity.
Primary work location is a home-based (Remote) office, but will infrequently require travel to locations throughout RI and CT to support volunteer training or interaction with schools, or to attend CEF meetings or events. Work hours will be on a mutually agreed basis but will primarily be during Monday-Friday, 8 am-4:30 pm.

NOTE:  The office manager will work an average of approximately 20 hours per week with a
range of 15-30 hours as necessary. Some meetings and events may require evenings or Saturdays.

Responsibilities

  • Provide oversight of all paper and electronic records for the state CEF office, including SharePoint folders and physical files.
  • Serve as administrator for donor management database (Bloomerang) and maintain donor and other key contact records. Generate receipts for contributions received.
  • Coordinates with staff and board members the appropriate recognition and communication to donors.
  • Working with State Director, other CEF staff, and supporting churches:
    a. Schedules and coordinates volunteer training for Good News Clubs and other ministries.
    b. Conducts training segment on required forms for ministry volunteers
    c. Ensures that all ministry volunteers complete background check form, statement of faith form, child protection policy form, and any other required forms.
    d. Works with background check provider to conduct background checks – informs state director of any issues that require action
  • Following initial work by State Director, works with school administrators and supporting churches, providing support tasks for the establishment of Good News Clubs and JYC clubs, including:
    a. Orders insurance certificates for the various school club locations
    b. Completes use of facility forms for the involved schools and pursues getting formal school administrative approval for Good News Clubs and JYC clubs (following initial work by the state director)
    c. Requests and pursues school and or district approval of Good News Clubs and JYC club registration forms and communication flyers, orders printing, and delivers them to the churches club team leaders for distribution at the schools
    d. Produces official name tags for all screened volunteers and delivers them to the church club team leaders for distribution
    e. Communicates with club team leaders regarding submitting registration slips and requested metrics for reports
    f. Collects monthly ministry metrics from club teams and enters the metrics into the CEF Ministry Reporting database.
  • Focal point for submittal of all forms, reports, and metrics required by CEF USA. Works with State Director, State Board Chair, and others to ensure on time submission.
  • Manages the retention of records per CEF USA and any other legal requirements.
  • Files and maintains documents as required by the state.
  • Works with State Director to ensure that newsletters and other mailings are developed and sent as planned.
  • Assists Treasurer in routine bookkeeping tasks, including deposits and bill payments, and sending donation receipts.
  • Supports Board Secretary with meeting notifications, agenda formation, providing required Board meeting documents, taking meeting minutes, and attending Board meetings.
  • Serves as primary administrator for social media accounts and focal point for social media content creation.
  • Responds to voicemail or email messages to the central phone and/or email accounts, and forwards to appropriate staff or board member.
  • Manages incoming and outgoing mail.
  • Maintains stock and purchases supplies for ministry and office activities as needed within established purchasing authority.
  • Performs other duties associated with ministry operations that may be requested by the state director.

Qualifications

  • High school diploma or equivalent required. A college degree is desirable. Candidates with relevant experience are preferred.
  • Impeccable verbal and written skills are needed.
  • The successful candidate must be a responsible self-starter with a high degree of initiative and integrity that is effective in prioritizing and managing their own time.
  • Must be comfortable using Office 365, Canva, SharePoint, Quickbooks, and Bloomerang or other donor/customer relationship management databases. Must be familiar with managing and creating content for social media sites such as Facebook, Instagram, and X.
  • This person will be extremely detail-oriented and a problem solver. They are an experienced and adept leader at implementing routine and structure in any situation.
  • Efficiency and the ability to complete complex administrative tasks with minimal supervision are key to this role. The successful candidate must be a lifelong learner.
  • Most importantly, this person is a born-again believer who feels called by God to the ministry of child evangelism and has proven their capabilities in a business or organizational setting in a Christ-like professional manner.
